Where a dental clinic loses patients

  • 01

    Hands busy at the chair

Your dental nurse can't take off gloves for every ring. The call goes to voicemail and the new patient tries the next clinic on Google.

  • 02

    Recalls that keep slipping

Check-ups and hygiene visits need chasing for every patient. Done by hand, that means spreadsheets and calls put off until there's a spare moment.

  • 03

Treatment plans left in a drawer

After the first visit, the patient takes the treatment plan home to think it over. Without a follow-up, treatment never starts.

What it handles for your dental clinic

It takes on the repetitive calls so your team can focus on the patient in the chair, following your rules on treatments, hygienist days and emergencies.

  • New patients and hygiene visits

It tells a new-patient exam apart from a hygiene visit or check-up and books it into the clinic calendar, synced with Google Calendar.

  • Recall campaigns

Upload the list of patients due a check-up and the agent calls them on the days and at the times you choose, trying again if they don't answer.

  • Emergencies straight through

Broken tooth, swelling, severe pain: the agent recognises an urgent call and transfers it to your reception number without leaving the patient waiting.

  • Treatments and estimates

It answers questions on implants, clear aligners, whitening and payment options from your own documents. For an estimate, it books a first visit.

  • Visit confirmations on WhatsApp

Automatic confirmation on booking, a reminder before the visit and a notice if it's cancelled. Patient replies land in the shared inbox.

  • Cancellations at 10 pm

A patient who needs to cancel tomorrow's visit can tell the assistant whenever they remember. You find it in the morning summary and can offer the slot to someone else.

AI automations

Treatment plans that don't gather dust

When your practice software flags an estimate as handed over, via webhook, a friendly WhatsApp follow-up goes out a few days later.

  1. 1

    Describe your clinic

Treatments, clinicians, opening hours and emergency rules. Start from the Receptionist template and let the AI assistant help you fill it in.

  2. 2

    Prepare your recall list

Import the patients due a recall with their consent, then choose days, time windows and retry attempts. The campaign starts when you say so.

  3. 3

    Review the outcomes

Every call comes with a transcript, summary and outcome. See who booked, who didn't answer and who is better called back by a person.

FAQ

Frequently asked questions

Can an AI receptionist handle dental recalls?

Yes, in two ways. You can run an outbound call campaign: the agent calls patients during the hours you allow, tries again if they don't answer and books the check-up. Or you can send an approved WhatsApp template to patients who have given consent.

What happens when a patient calls with a dental emergency?

You decide what counts as urgent, such as severe pain, swelling or a broken tooth. In those cases the agent doesn't try to handle it: it transfers the call to the clinic number you've set. Out of hours it gives the instructions you've provided, such as an on-call number.

Does it integrate with dental practice management software?

There are no direct integrations with dental software. The agent books into Replicer's calendar, which syncs both ways with Google Calendar. If your software has an API, it can be connected via webhooks or the Replicer REST API.

Can the agent quote prices for treatments over the phone?

It can read out the price list or price ranges you choose to add to the knowledge base. If you'd rather not give figures over the phone, the agent explains that estimates follow a first visit and offers to book one.

Are recall calls to patients GDPR-compliant?

Recalls need a valid legal basis, which you should confirm with your privacy adviser. Replicer helps you stay within it: every contact records consent, WhatsApp messages handle opt-outs and calls go out only on the days and at the hours you set.

Let the virtual assistant handle your recalls

We'll set up the agent around your clinic's treatments together and test it on the calls you get every day.
