An AI receptionist for medical practices, on the line while you see patients

It books appointments, takes repeat-prescription requests and explains opening hours while your team is with patients. It never diagnoses or gives medical advice.

When the phone rings in the middle of a consultation

  • 01

    The morning rush

As soon as the doors open, the calls pile up: appointments, prescription requests, questions about opening times. Patients who get a busy tone call back later, or not at all.

  • 02

    One front desk, two queues

Your receptionist is checking in the patient at the desk while another waits on the line. Someone is always left waiting.

  • 03

    Nobody answers after hours

Evenings and weekends are when patients try to cancel or move appointments. With no answer, the slot stays empty and the gap is spotted too late.

What the AI receptionist handles for your practice

It works from the information you give it: opening hours, doctors, services and your rules for prescriptions and certificates. When a person is needed, it puts the call through.

  • Books and manages appointments

It checks the built-in calendar, synced both ways with Google Calendar, and books with the right doctor based on the availability you've set.

  • Takes repeat-prescription requests

It notes the patient, the medication and their usual doctor, and reception gets an email summary. The doctor always reviews and signs the prescription.

  • Answers practical questions

Opening hours, collecting test results, preparing for blood tests, private or publicly funded visits: it explains your guidance clearly and consistently.

  • Puts urgent calls through

If a patient describes something that can't wait, the agent doesn't assess it. It transfers the call to your reception number or gives the emergency numbers you set.

  • WhatsApp confirmations and reminders

Patients get a booking confirmation and a reminder before their visit from your practice's WhatsApp Business number, with the practice's name as sender.

  • Health data handled with care

You can switch off call recording and tell the agent not to collect clinical details. Hetyna is an Italian company certified to ISO 27001.

Frequently asked questions

Can an AI receptionist give medical advice to patients?

No. The agent is instructed never to diagnose, interpret test results or suggest treatment. It handles bookings, practical information and requests. If a patient describes symptoms, it transfers the call to reception or gives the emergency numbers you've set.

How is patients' health data protected?

Hetyna is an Italian company certified to ISO 27001 and processes data in line with GDPR. You can switch off call recording and limit what the agent collects to what's needed for the booking. We recommend updating your practice's privacy notice before going live.

Will patients know they're talking to an AI?

Yes. At the start of every call the agent introduces itself as the practice's virtual assistant, as the EU AI Act requires. The voice sounds natural and handles interruptions, and anyone who prefers a person is put through to reception.

Does the AI receptionist connect to our practice management system?

There's no direct integration with clinical systems. The agent uses the built-in calendar with two-way Google Calendar sync. If your system has an API, your provider can connect it through webhooks or the Replicer REST API.

How much does an AI receptionist for a medical practice cost?

It depends on your call volume and the channels you use. Plans are based on credits that you use up as the agent works. You'll find the details on the pricing page, or we can help you estimate the right plan for your practice.

Give your front desk an extra pair of hands

Try the agent with the questions you get every morning. We'll help you set it up around your practice's rules and opening hours.
