The phone always rings at the wrong moment

  • 01

    Answering breaks your focus

A call in the middle of a site visit or a client meeting throws you off. Letting it ring, though, means someone is left without an answer.

  • 02

    Voicemail isn't enough

Few people leave a message after the beep, and those who do rush their name and number. You're left with audio to replay and decode.

  • 03

    The end-of-day call back list

By evening you have a list of numbers with no names and no reasons. You can't tell who had a real problem and who just wanted a copy of the meeting minutes.

What your virtual receptionist does for you

It starts from the personal secretary template: you adapt it to your work, your hours and when you're happy to be interrupted, and it follows your instructions on every call.

  • Messages with the right details

You decide what to collect: name, number, case, urgency. Post-call analysis extracts the data and organizes it, so there's no audio to replay.

  • Meetings straight into your calendar

It checks your availability and books the meeting in Replicer's calendar, which syncs both ways with Google Calendar.

  • Scheduled call backs

If the caller needs to speak to you specifically, the agent schedules a call back at a time that suits them, with the reason already noted.

  • A summary in your inbox

After each call you get an email with the summary, extracted details and outcome. Filter it so you're only alerted about the calls that matter.

  • Confirmations for the caller

During the call the agent can send a text or an email with the agreed time, your office address or the list of documents to bring.

  • Urgent calls through, the rest waits

Sales pitches and off-topic calls get a polite answer and don't disturb you. Genuine emergencies are transferred to the number you choose.

AI automations

A summary for you, a document list for the client

  3. 3

    Turn on call forwarding

Forward calls from your number when you're busy or don't answer, or use a new number. From then on, every call gets answered.

FAQ

Frequently asked questions

What's the difference between an AI answering service and voicemail?

Voicemail records a message and waits for you to listen. An AI answering service holds a conversation: it asks questions, answers with your information, books meetings or call backs and sends you a written summary with the key details already extracted.

How do I receive my messages?

Every call appears in Replicer with a summary, transcript and extracted details. With an automation you also get an email, for example only for urgent calls, and the caller can receive a confirmation by WhatsApp or text message.

Can it put urgent calls through to my mobile?

Yes. You set a fixed number, such as your mobile, and describe when the agent should transfer the call. In every other case it takes a message and you call back when you're free.

Is a virtual receptionist worth it for a one-person business?

Yes, it's designed above all for solo professionals and small teams: lawyers, property managers, consultants, surveyors and tradespeople. You set up one agent, shape it around how you work and change it whenever your needs change.

Will callers know they're talking to AI?

Yes. The agent introduces itself as a virtual assistant, as the EU AI Act requires. What callers care about most is being heard straight away instead of ringing out: the voices sound natural and the agent copes well with interruptions.
